How we handle studio accounts, guest galleries, face search, and communications for Pixara.

1. Who we are

Pixara (“we”, “us”, “our”) provides software for photography studios to deliver event galleries, manage clients, and notify guests. Our website is pixara.online. The studio product is accessed via app and related domains we operate.

This Privacy Policy explains how we process personal data when you use our marketing site, create a studio account, or interact with a gallery as a guest or client.

2. Who this covers

  • Studios / operators — people who buy or use Pixara to run events and deliver photos.
  • Clients of studios — customers booked by a studio (e.g. couple, event organiser).
  • Guests — people who open a gallery link or QR, register, search with a selfie, favourite, or download photos.
  • Website visitors — people browsing pixara.online without an account.

Studios are typically the primary controller of event and guest content they upload. Pixara processes that content to provide the service (processor / service provider role), and is controller of account, billing, and product analytics data we collect directly.

3. What we collect

Account & studio data: name, email, phone, studio name, role, plan, storage usage, invoices, payment status, and support messages.

Event & gallery data: event titles, dates, cover images, photos and video you upload, package and selection data, publish/download settings, QR and share links.

Guest & client data: name, phone and/or email when registering; favourites and download activity; messages sent via connected channels (e.g. WhatsApp) you initiate through Pixara.

Face search data (when enabled): face embeddings derived from event photos for matching within that event; guest consent records; temporary selfies used only to run a search (see Face search).

Technical data: IP address, device/browser type, approximate location from IP, logs needed for security and reliability, and cookie or similar tech on the marketing site where used.

We do not intentionally collect special categories of data beyond what is inherent in photos you upload (e.g. appearance in images). You should not upload content you do not have rights or a lawful basis to process.

4. How we use data

  • Provide galleries, face search, CRM, billing, and apps.
  • Send product notifications you configure (gallery ready, payment reminders, WhatsApp templates, etc.).
  • Authenticate users, prevent abuse, and keep the service secure.
  • Improve performance, fix bugs, and understand product usage.
  • Process payments and issue invoices with payment partners.
  • Respond to support, migration, and sales requests (including phone +91 8499999499 and email).
  • Comply with law and enforce our Terms.

5. Face search & consent

Face search is optional per gallery and controlled by the studio. Indexing uses photos the studio uploads for that event. Guests who use selfie search must give clear consent before a selfie is processed.

  • Selfies are used to find matches in that event only and are designed for short retention (deleted after search / temporary storage with short lifecycle).
  • Selfies are not used to build a global identity database across unrelated events.
  • Guests or studios may request deletion of face-related metadata for a person or gallery where technically feasible.
  • Studios must enable face search only where they have an appropriate basis (e.g. notice, contract, consent) for their clients and guests.

6. Sharing & processors

We share data only as needed to run Pixara, for example:

  • Cloud hosting & storage providers for files and databases.
  • Face matching / AI infrastructure when face search is enabled (processing of photo-derived features).
  • Payment providers (e.g. UPI / card gateways such as Razorpay) for collecting fees.
  • Messaging channels you connect (e.g. WhatsApp Web / business messaging) to send templates you initiate.
  • Professional advisors or authorities when legally required.

We do not sell personal data. Studios may share gallery access with their clients and guests; that sharing is under the studio’s control.

7. Retention

We keep data only as long as needed for the purposes above, plan limits, and legal requirements. Studios can unpublish, archive, or request deletion of galleries subject to plan and technical constraints. Guest selfies for face search are short-lived by design.

8. Security

We use industry-standard measures: access controls, encrypted transport (HTTPS), least-privilege operations, and monitoring. No method of transmission or storage is 100% secure; report concerns to hello@pixara.online promptly.

9. Your rights

Depending on applicable Indian law (including the Digital Personal Data Protection Act, 2023, as implemented) and other rules, you may have rights to:

  • Access or correct personal data we hold about you.
  • Request deletion or withdrawal of consent where applicable.
  • Nominate a contact for certain requests (where required).
  • Lodge a complaint with a competent authority.

Guests should first contact the studio that shared the gallery; we will assist studios and, where appropriate, honour direct requests we control (e.g. marketing site or account data).

10. Children

Pixara is built for studios and adult organisers. Event photos may include minors. Studios are responsible for lawful collection and any required parental consent for publishing or face search involving children.

11. Changes

We may update this policy. Material changes will be posted on this page with a new “Last updated” date. Continued use after changes means you accept the updated policy where permitted by law.
